Terms of Service

Effective Date: April 24, 2026

1. Agreement to Terms

By accessing eventsbylucia.com or engaging Events by Lucia ("we," "us," "our") for event planning services, you agree to be bound by these Terms of Service. If you do not agree, do not use our site or services. These general terms apply in addition to any signed client agreement; where language conflicts, the signed client agreement controls.

2. Our Services

Events by Lucia offers full-service event planning and coordination across Tampa Bay, including:

  • Wedding planning (full, partial, month-of)
  • Quinceañera and Sweet 16 planning
  • Corporate and private events
  • Vendor sourcing and management
  • Design, timeline, and day-of execution

Specific deliverables, scope, and timelines for your event are defined in a separate signed client agreement.

3. Booking, Deposits, and Payment

  • Your event date is reserved only after a signed client agreement is returned and the retainer deposit is paid in full.
  • Deposits are non-refundable except where required by law or otherwise specified in your client agreement.
  • Remaining balances are due on the payment schedule defined in your client agreement.
  • Late payments may incur fees and, where applicable, result in suspension of services.

4. Cancellation and Refund Policy

Because event dates are reserved exclusively for each client, the following general framework applies (exact terms are set in your client agreement):

  • Deposits and any payments made for services already performed are non-refundable.
  • Cancellations must be submitted in writing; the cancellation date is the date we receive written notice.
  • Rescheduling is accommodated subject to availability and may require an additional fee.

5. Client Responsibilities

You agree to:

  • Provide accurate, complete, and timely information (guest counts, vendor contacts, venue details).
  • Respond to reasonable communication requests within a reasonable timeframe.
  • Make decisions and approvals within agreed milestones so the event timeline is preserved.
  • Ensure any content, images, or branding you provide does not infringe third-party intellectual property rights.

6. Third-Party Vendors

Events involve independent third-party vendors (venues, caterers, florists, photographers, rental companies, etc.). We source and coordinate these vendors on your behalf, but we are not responsible for the acts, omissions, delays, quality, or cancellations of any third-party vendor. Contracts with vendors may be entered directly between you and the vendor, or through us as your representative; in either case, the vendor's terms apply to their services.

7. Photography, Video, and Portfolio Use

By default, Events by Lucia reserves the right to use photographs and video captured at your event — including images commissioned from your event photographer/videographer, where licensing permits — for portfolio, website, social media, and marketing purposes. If you would prefer to opt out of portfolio use, notify us in writing before your event date and we will exclude your event from marketing materials. We do not publish client names or identifying details without permission.

8. Intellectual Property

All site content (design, copy, photography, proprietary planning templates and frameworks) is the intellectual property of Events by Lucia unless otherwise noted. You may not reproduce, copy, or redistribute site content without written permission.

9. Force Majeure

Neither party is responsible for delay or failure to perform resulting from circumstances beyond reasonable control, including severe weather, hurricanes, natural disasters, pandemics, public health emergencies, acts of government, civil unrest, or utility failures. In the event of a force-majeure event that prevents the event from occurring on the scheduled date, we will work in good faith with you to reschedule; fees already paid for services rendered remain due.

10. Disclaimer of Warranties

Services are provided "as is" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, or specific outcomes. We do not guarantee any particular attendance, vendor performance, or guest experience.

11. Limitation of Liability

To the maximum extent permitted by law, Events by Lucia's total liability for any claim arising from or related to our services shall not exceed the total fees you paid us for the specific event giving rise to the claim. In no event will we be liable for indirect, incidental, consequential, or punitive damages.

12. Indemnification

You agree to indemnify and hold Events by Lucia harmless from any third- party claims arising from the conduct of event guests or attendees, damage to a venue, or violation of these Terms.

13. Governing Law and Disputes

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute will be resolved in the state or federal courts located in Hillsborough County, Florida.

14. Changes to These Terms

We may update these Terms from time to time. Continued use of our site or services after changes are posted constitutes acceptance of the revised terms. Material changes will be communicated where required by law.
